Work

Case notes.

Some of what I've built and fixed over the last ten years. None of these were coaching businesses. All of them had the problems you have: too many tools, not enough hours, and numbers nobody trusted. The fixes translate. The budgets are the only thing that changes.

01 / A property research service · Startup portfolio, Seattle · 2020 to 2025

Automating a service business down to a three-day turnaround.

Context
A service business inside a portfolio of startups I ran operations for. It delivered property research for real estate transactions: the information a deal needs, packaged clean and ready to use. Every order was assembled by hand, and the work was slow and tedious. Turnaround depended on who was working that week.
What I did
Mapped the whole delivery process, then rebuilt it as a set of AI-driven workflows that did the reading, sorting and drafting, with a person checking the output instead of producing it. Then wrote the SOPs and documentation, and put real tracking on every order.
What changed
A near fully automated operation with a three-day customer turnaround, clean output and minimal overhead. Every order was tracked from start to delivery, and the team stopped being the bottleneck.

02 / Two early-stage startups · Same portfolio, Seattle · 2020 to 2025

Two startups, one operations backbone.

Context
Two early-stage companies in the same portfolio, both needing structure, systems and marketing that ran without a full team behind it.
What I did
Built the operating framework: roles, workflows, training and playbooks so small teams could execute consistently. Then built the marketing automation as full pipelines, end to end: lead capture, nurture, checkout, fulfillment, retention, and winning back customers who had drifted. And adjusted the business model so revenue came in without someone pushing every sale by hand.
What changed
One of them passed $400k in revenue in 2021. The other passed $130k in its first year. The marketing automation produced a recurring stream of more than $30,000 a month with almost no ongoing effort.

03 / A large technology company · Center of Excellence, Bellevue · 2018 to 2020

Cutting project cycle time in half at a company that had already tried everything.

Context
A large, established technology company. Multiple departments, long project cycles, and the usual reason: nobody could find the current version of anything and every handoff needed a meeting.
What I did
Ran daily operations for the Center of Excellence, a team of more than fifty people across multiple departments. Standardized the documentation, cut the number of handoffs that needed a meeting, and introduced Lean and Agile practices (SAFe) to product development. During a company-wide production outage, I was the person getting answers to the large accounts in real time.
What changed
Project cycle time dropped by 50%. Several large accounts stayed that would otherwise have walked during the outage.

04 / A collection of startups · Arizona · 2025 to present

KPIs, dashboards and AI-informed workflows across a group of startups.

Context
A collection of startups in Arizona, each generating data about customers, operations and payments in separate systems, and nobody turning it into decisions.
What I did
Took ownership of analytics, reporting and automation across the group. Defined the KPIs and OKRs, built custom analytics dashboards, and wrote internal APIs that pulled everything into one place, from customer details to payment transactions. Then designed AI-informed workflows that turned operational data into something leadership could act on. Ran product development end to end from requirements through launch, and wrote the SOPs that let the company grow without re-explaining everything each time someone joined.
What changed
Leadership went from asking for reports to reading a dashboard. Manual effort dropped, data accuracy went up, and departments started working from the same numbers. More than $500,000 in documented bottom-line return from the recommendations.

Your version of these problems is smaller. That's the good news.

Everything above took months and teams. In a coaching business, the same fixes take weeks and one person. The first month usually ships the two things that annoy you most.

Let's look at your stack.

Thirty minutes. I'll tell you what I'd fix first, what I'd leave alone, and whether you need me at all.
